This project addressed a common friction point for sales-focused businesses: the gap between a prospect booking a meeting and that lead actually appearing in the CRM ready for follow-up. The client needed a reliable, automated bridge between Calendly and Close CRM that would instantly create leads and opportunities the moment a meeting was scheduled. Beyond just functionality, they also needed the workflow to be visually mapped in a way that was clean, easy to follow, and simple to hand off to their team without confusion.

How We Did This

NexCraft designed and built an automation workflow that connected Calendly directly to Close CRM, ensuring that every new booking triggered an immediate and accurate lead creation process. Using Zapier as the automation backbone, we mapped each step of the flow with precision, from the initial trigger at the point of booking through to opportunity creation within the CRM. The visual design of the workflow was given just as much attention as the technical setup, with each node and connection laid out in a structured, intuitive format that made the entire process transparent and easy to understand. The approach was rooted in one core belief: automation should not just work behind the scenes, it should be something a team can see, trust, and build on.

What were the results

The integration delivered exactly the kind of reliability and speed a sales team depends on. Leads were created in Close CRM automatically and instantly upon every Calendly booking, removing manual data entry from the equation entirely. The client gained a cleaner, faster lead management process with zero risk of bookings falling through the cracks. The visual workflow documentation also made onboarding and handoffs significantly easier, giving the team a clear reference point for how the system operated.
